For the digitally sign of the GDPR document, DSW offers an integration with the "SYNOP Digital Signature solution"

With the SYNOP Integration, there are two ways for handling the Data Privacy process using:

  1. A tablet owned by and located in the dealership and is used for making the signature.
    The salesperson on owned PC/Laptop, can select a Business Partner and click on "Sign GDPR with Synop". In the background, the DSW sends the Business Partner data to Synop and automatically those data are inserted to a specific document and available to a specific device. On the tablet (usually placed in front of the customer), a website is loaded containing the customer data from the DSW and the Data Privacy questionnaire. The customer takes the tablet, makes his choices and signs the document on the touchscreen. After the customer clicks “OK” on the tablet screen, the job is completed. In the background, the DSW receives for the completed/signed agreement, the signed PDF document. Ιn DSW both customer and data privacy data are updated.
  2. Customer on device (mobile or tablet) - The customer can scan a QR code to edit and sign the document on his own device.
    The salesperson on its PC/Laptop select a Business Partner and clicks on "Sign GDPR with Synop". A popup window is displayed with a QR code containing the link to the website holding the customer specific DPA template. The customer scans this QR code with his device and the website is loaded. The customer makes his choices and signs the document on his device. After the customer clicks “OK” on his device, the job is completed. In the background, the DSW receives the agreement and the signed PDF document. Ιn DSW both customer and data privacy data are updated.

Configuration 

1) Define SYNOP Device ID for Users
In the case that there is available a tablet in every dealership, the user administrator should provide the SYNOP DeviceID field value, located at the user's card page at the "Detail" tab

2) Business Cases

The BC 12127 "GDPR Digital with Synop button in BP Page" to be assigned to a role (i.e. OD-Core) 

3) New Administration and Process pages

  • Define SYNOP "access parameters" (per Company) ~/SetupEntities/SynopAccessParamsGridList
    Create a new entry for every company exists in the DSW and provide the following fields:
    Name:
    Company:
    Synop API key: (provided by Synop)
    Synop Mandant: (provided by Synop)
    Synop Base URL: https://dev-dion.synop.de/client-api

  • Define SYNOP Document Mapping ~/SetupEntities/SynopDocMappingGridList
    Create a new entry for every company and for every document ("Data Privacy Agreement" so far) and provide the following fields:
    Name:
    Company:
    Synop ServiceID: (provided by Synop)
